Plan the company offsite.
Everyone gets the live itinerary.

We research the venues, hotels and activities for you. You build the run of show from what you choose, and every attendee gets it in Trip7 with their own flights, their hotel and the sessions they’re in.

In private pilot. Free for pilot teams while we build it with them.

How it works

  1. Research We find the venues, hotels and activities that fit, costed for your group.
  2. Plan The run of show from what you chose, and the hotel room block kept in hand.
  3. Logistics Trip7 gives each attendee the plan, their flights and their hotel, then asks how it went.

Step 1:We do the research for you.

Give us the dates, the headcount and the budget once. Research comes back with the venues, hotels and activities that fit: rooms by layout and capacity, published rates costed for your group, who to contact and what to ask. Shortlist the good ones on a map and watch the budget move as you choose.

The Places workspace for a Lisbon offsite: a shortlist of meeting venues and restaurants, each marked chosen, holding a date or contacted, under what the confirmed places cost against the budget; a map of every place; and the research for a riverside venue with its events contact and fit.
Researched spaces for one venue: a main hall for 180 theatre-style, 120 in banquet rounds or 90 classroom at €4,200 a day, a river room for 24 to 30 at €950 a day, and a studio whose rate is not published, each price marked as published.

What comes back for each place

  • Spaces and how many each seats, by layout
  • Published rates, costed for your headcount and days
  • Room blocks, group rates and release dates for hotels
  • The events contact and inquiry form
  • Catering rules, reviews, and what to ask before you sign

Coming soon We call the venues for you, to check availability and pricing on your dates.

Every researched figure shows where it came from, and an unpublished rate says so instead of being guessed. Nothing is booked for you: you confirm the date with the venue.

Step 2:Build the run of show from what you chose.

Drag the venues, restaurants and activities you chose onto the days, then add the sessions, meals and transfers around them. Say who each item is for — everyone, a team or just the leads. Saving it shares it to their itineraries with the venue, the room and directions, and anything not decided yet is marked TBD.

A three-day offsite calendar side by side: a kickoff, workshops and lunches, evening reviews for smaller groups, a tentative sunset sail and a team dinner, beside the chosen places that can be dragged onto a day.
The room block at Hotel Ribeira Alta: check-in and check-out, the hotel's confirmation, 32 rooms secured for each of three nights with 27 allocated and 5 free, and the start of the list of who stays there.

The hotel room block, in hand

  • The rooms you secured at each hotel, night by night
  • Who has a room, and who still needs one on which night
  • Check-in, check-out and the hotel’s confirmation on each guest’s itinerary

You secure the block with the hotel, then record it here.

Step 3:Trip7 takes the plan to every attendee.

Trip7, our travel assistant app, gives each attendee their own version of the offsite: the full run of show, their flights tracked, their hotel and the sessions they’re in. Change the dinner and it has changed on every phone, while you see who has joined, who still needs a room and whose flight is late.

An offsite readiness list led by its next step, reviewing travel: places, budget and schedule done; people and lodging in progress; travel flagged with four reported disruptions and one change not yet shared.
An attendee's Guide in Trip7 during the Lisbon offsite: the team dinner is up next, with 1 hour 50 minutes until they leave the hotel, its address and directions, and the day's sessions below.

Every flight, tracked

Attendees keep their travel on the offsite’s trip, and you get one arrivals board: who lands when, who will be late for the on-site time, and who has no journey on it yet. Each of them gets the gate changes and delay alerts for their own flight in Trip7.

Arrivals into Lisbon by time, with the attendees on each flight: one flight delayed, one company booking landing after the 6:00 PM on-site time, and nine people with no journey yet.
An attendee's delayed flight to Lisbon in Trip7: 45 minutes late, departing in 1 hour 45 minutes from gate C31, with the inbound aircraft 40 minutes away.
Trip7's concierge answering where tonight's team dinner is and how to get there from the hotel: the dinner card, a short uphill walk and when to leave, and the walking route.

Travel guidance for each person

Where tonight’s dinner is, how to get there from their hotel, what to do on the free afternoon. Attendees ask Trip7’s concierge, which already knows their itinerary.

Feedback after a Lisbon offsite: 18 responses, rating how useful it was at 4.2 of 5 and the venue at 3.5 of 5, each with its spread of answers, followed by written suggestions.

Feedback when it’s over

Set the questions and when the window opens, and attendees answer in Trip7 once the offsite ends. Ratings come back as an average and a spread, written answers without names attached.

Questions

What is Trip7 for Business?
Software for planning and running team offsites, retreats and company trips. It researches venues, hotels and activities against your dates, headcount and budget; you build the run of show from what you choose and keep track of the hotel room block; and every attendee gets the plan in Trip7, our travel app, with their own flights tracked, their hotel, a travel concierge, the trip’s Journal and a feedback questionnaire once it is over.
Who is it for?
Anyone organizing a trip for people at their company — offsites, retreats, kickoffs, team trips and company events. Several organizers can plan the same offsite together, and everyone planning works from the same shortlist, schedule and budget.
Does it work alongside the travel tools we already use?
Yes. Flights and hotels can be booked wherever you book them today — a travel agent, a corporate booking tool or the airline’s own site. Attendees forward their confirmations to Trip7, the bookings land on their itinerary, and the ones they keep on the offsite’s trip reach your arrivals board.
Does it book the venue, the hotel or the flights?
It researches and compares options and shows where every fact came from; you make the booking with the venue, hotel or airline. Calling venues to check availability and pricing on your dates is coming soon; until then you confirm the date with the venue. Once something is booked, you record it and it reaches the right people’s itineraries.
How do you keep track of everyone’s flights?
Attendees keep their travel on the offsite’s trip in Trip7, and it appears on one arrivals board with flight number, expected time, status and terminal — plus the people with no travel on it yet, which is usually the more useful half. Because Trip7 reads booking confirmations, a flight appears wherever it was booked.
Do attendees need to install an app?
Yes, today. Attendees use Trip7, the travel app, to see their itinerary, track their flights, ask the concierge, post to the trip’s Journal and answer the feedback questionnaire. Invitation links open a page with the store links for anyone who does not have it yet.
Can organizers see attendees’ personal bookings or what they paid?
No. Organizers see the arrival, departure and hotel dates attendees keep on the offsite’s trip. Anything an attendee keeps on another trip stays private and is never mentioned, and prices are never shown to organizers. Dietary and accessibility needs reach organizers only when the attendee agrees to share them.
What does it cost?
It is in private pilot and free for pilot teams. Pricing has not been set.
